MANAGEMENT AND COORDINATION     

Miriam Siciliano, Resolvo Srl (LP’s external management support), provides an overview of the work plan foreseen for the 5 years of activities, as well as information on Steering Group regulation, Stakeholders’ involvement and engagement,  Budget - Details can be found on the presentation.

The following remarks can be highlighted:

- Coordination structure: people in charge of different roles within the project are presented, together with Steering Group roles and responsibilities, all outlined in the SG regulation previously shared with project partners. No additional remarks are made on the document which is then approved. All partners will send information on the name on members and delegates that will be officially part of the REBUS SG

- Overview of activities and Gantt: the overall structure of project activities is provided, with specific focus on Semester 1 and 2 (first year of activities), as well as draft calendar of meetings foreseen for the 5 years of project activities.

Visual Self Introduction  

Using a set of cards showing different types of images partners presented themselves. The exercise was very useful to start knowing the people at the table, thus fostering communication during the meeting.     

COMMUNICATION: PLAN AND TOOLS  

Benjamin Daumiller, European Institute for Innovation - REBUS Communication Manager, presents the overview of communication activities with focus on: 

target groups: list of key actors identified within the project is shared, partners agree that associations of experts (i.e. engineers) should be taken into consideration as well.  

key messages: How to involve identified stakeholders? A list of questions is proposed by the CM. Partners are asked to divide into 2 groups and work together in order to identify the most important target group and develop the message for this target group.     

The 2 groups are:  

1) SERDA + DURHAM + NORDA + REGION of CRETE  

2) MALMO + AFE + PNEC   

Partners will complete the reflection started today in the upcoming weeks and will propose a tailored message to the CM by the 20th of June. The CM will gather all messages that will be used for project communication purposes. 

outputs/indicators: overview of main project outputs is provided. By the end of the 1st semester the project brochure will be prepared. The CM will share layout and content proposal 

internal communication/ online repository: the partnership agree to use the online repository LINk All (LIN-A) proposed by the CM. Accounts for all partners will be set up by the end of June. All internal material will be made available on this sharing system

Communication Plan: the draft version of the document will be shared by the CM and all partners will provide feedback and inputs

Matrix: an excel file prepared by the CM will be used in order to gather contact details from all the stakeholders identified by each partner, in order to have comprehensive documents to be used for communication purposes (e.g. invitation to project events, sending out of project newsletters, etc.). The CM will send the file and all partners will complete it with requested information.

INTERREGIONAL EXCHANGE   PARTICIPATIVE PLENARY SESSION   

Presentation of context analysis template (state of the art, relevant experiences, needs) 

Miriam Siciliano presents the overview of the main project tool to be developed, the Energy Renovation Path, as well as the 3 main steps foreseen in order to develop the tool.  The 1st step is the identification of experiences, running from Month 1 until Month 8.

Paolo Frosini, Resolvo Srl, introduces the participative session. Starting from the preparatory document shared by the LP prior to the kick-off meeting, partners are asked to share ideas on each of the 4 topics identified, by addressing state of the art, relevant experiences and needs identified for each of the topic. Partners should provide their insights on each of the issues to be addressed by using post-it notes (A different colour used for each partner).

The exercise carried out during the participative session will be used as a starting point for partners in order to carry out further and deepen reflections on the 4 topics and then completing the context analysis. The LP will share the definite template to be used for the analysis and based on the same structure as presented during the meeting.   A draft version of the analysis should be ready by the end of semester 1 and presented to all partners during the 2nd project meeting, while the final document should be completed by month 8.
